Getting a new physician up and running

Five short steps from a bare email address to a live compliance picture across every state you're licensed in. Screenshots below are the real product — every field, button, and message is exactly what you'll see.

⏰ ~5 minutes 🔒 No password, ever 📄 PDFs and spreadsheets, never stored

Sign in — no password to create

cme.licensy.ai/login

Enter your email once. If it's new, you'll confirm you want an account (so a typo can't quietly create one for a stranger); if it's already yours, you're straight through. Either way, a one-time link lands in your inbox — that link is your password.

2Continue. We recognize returning vs. new automatically from the address.

3New here? One extra click confirms it — protects against a mistyped email silently creating an account.

Complete your profile

cme.licensy.ai/physician/setup

Name, degree, and every state you're licensed in. Check a state and its license number and issue date appear inline — the issue date is the only thing we need to work out your renewal window; everything downstream follows from it.

Not every question is here. A few states ask something extra — do you prescribe controlled substances, treat children, that kind of thing — but only when it actually changes a requirement. Those show up later, one at a time, on that specific state's page. Don't worry if this form doesn't ask about your whole practice; it's not supposed to.

1Name and degree. MD or DO — this decides which set of state rules apply to you.
2Specialty (optional). A couple of states require CME in your own specialty; this is how the tool knows to flag those rather than guess.
3Every state, checked. Or use "Select All States" if that's simpler — nothing here is permanent, add or remove anytime from Profile.
4Issue date only. Not expiration — your renewal cycle is computed from this automatically.
5Save. Lands you on Add CME next.

Already tracking licenses in a spreadsheet?

cme.licensy.ai/physician/<you>/import — optional

If you've got more than a couple of states, typing each one into the form above gets old fast. Import licenses reads a CSV or Excel file (or even rows pasted straight from a sheet), maps the columns for you, and — this is the important part — shows you everything before saving anything.

1Upload a file. CSV always works; Excel works if it's enabled on the server. Column order and naming don't matter.
2...or just paste. Copy rows straight out of Google Sheets or Excel — a header row is fine, we'll ignore it.
3Read & preview. This step only reads the file. Nothing is saved yet.

4Ready mapped cleanly — leave it checked.
5Check something needs a look — here, it noticed a state was already on file and flagged that saving will replace it.
6Confirm & save. Only the rows you leave checked get written to your profile.

Add your CME certificates

cme.licensy.ai/physician/<you>/cme

This is the part that actually moves your compliance numbers. Upload the PDF certificates you already have — up to 30 at once — and the tool reads the hours, topic, and date off each one.

PDF only here — spreadsheets are for licenses, not certificates. Add CME wants the actual certificate file. If you're bringing in your license roster instead, that's Step 3's Import Licenses screen.

2Upload & classify. Each certificate is read once, applied to your record, then discarded — your files are never stored. Keep the originals yourself as your own audit proof.

Reading your dashboard

cme.licensy.ai/physician/<you>

Everything funnels into one view: what's due soon, what needs a look, and what's already handled. The example below belongs to a demo physician licensed in Florida, Georgia, and Texas — used here so you can see a real "needs attention" list without it being anyone's actual record.

1Three numbers. Due within 90 days, needing attention with more runway, and already on track.
2Incomplete a real gap — Texas here is missing one specific named course.
3Self‑verify an FYI, not a gap. Florida and Georgia's opioid rules are conditional — they don't count against you unless they apply to your practice.

Click into any state for the full picture — this is Florida, fully compliant, with one of those conditional rules waiting on an answer:

1Requirements + time left, at a glance — how much of the cycle is done and how much is left of it.
2Practice profile. This is where those practice-specific questions from Step 2 actually show up — answer once, change anytime, and it recalculates instantly.
3Every category, hours earned against hours required, side by side.

And Texas — same layout, but with a real, unresolved requirement:

1What's left spells out exactly what's missing — here, a named course that general CME hours can't substitute for.
2Missing in the full table too. It won't clear until that specific course is uploaded — no amount of other CME will satisfy it.
One more thing worth knowing: CME hours count toward every license whose renewal window they fall inside — they aren't locked to the state you uploaded them for. A conference you attended in June can satisfy Florida and Texas at once if both cycles are open on that date.

The five steps, recapped

  1. 1
Sign in with just an email — a one-time link is your password.
    cme.licensy.ai/login
  2. 2
Complete your profile — name, degree, and every state you're licensed in.
Practice-specific follow-ups appear later, per state, not here.
  3. 3
Import licenses from a spreadsheet if typing each state by hand is more than you want to do.
Optional — nothing saves until you confirm the preview.
  4. 4
Add CME by uploading your certificate PDFs — hours, topic, and date are read automatically.
Files are discarded after reading; keep your own copies.
  5. 5
Read your dashboard — due soon, needs attention, on track, and a full breakdown per state.
"Self-verify" is an FYI, not a gap.
